If you’ve ever opened an Exhibitor Service Manual and felt like you were being forced into a corner, you aren’t alone.

Many exhibitors believe that if they don’t order their flooring through the “Official” General Service Contractor (GSC), they are breaking the rules—or worse, that their carpet won’t be installed on time. We’ve seen the tactics: confusing deadlines, “exclusive” service claims, and fine print that makes hiring an outside expert feel like a legal hurdle.

At Events Carpet & Flooring, we’re here to clear the air: You have a right to choose. Here is the truth about the “EAC” and why the GSC might be trying to keep you in the dark.

1. What is an EAC?

An EAC (Exhibitor Appointed Contractor) is any company other than the “Official” one designated by show management. Whether it’s for high-end floral, custom audio-visual, or specialty flooring like ours, you have the right to bring in your own team to ensure your brand looks exactly how you envisioned it.

2. The “Exclusivity” Myth

GSCs often use language that implies they are the only ones allowed to lay carpet in the hall. While they do have exclusive rights to certain “primary” services (like drayage/material handling or electrical), flooring is almost always an open category. If a contractor tells you that you must use their carpet, check the “Third-Party Contractor” or “EAC” section of your manual. You’ll find that as long as your chosen partner (like us!) provides the proper insurance certificates (COI), we are cleared to work.

3. The “Scare Tactics” of Timing

A common “trick” is the suggestion that an outside contractor won’t be allowed on the floor until it’s too late.

  • The Reality: We’ve been navigating McCormick Place and every major U.S. venue for over 30 years. We know the move-in schedules, the union jurisdictions, and the dock managers. We don’t just “show up”—we coordinate with show management weeks in advance to ensure your floor is down before your crates even arrive.

4. Why They Want to Keep You

It’s simple: Margin. The GSC makes a significant portion of its profit by renting out high-volume, low-quality “Tuxedo” carpet at a premium price. When you hire a specialist like Events Carpet & Flooring, that profit stays in your pocket, and the quality of your booth goes up.

The Takeaway: Read the Fine Print (Or Let Us Do It)

Don’t let a “Notice of Intent to Use an EAC” form intimidate you. It’s a standard piece of paperwork that we handle for our clients every single day.

You spend months planning your exhibit. Don’t let a GSC trick you into settling for a “standard” floor when you could have a custom-branded, high-comfort foundation for less.
